How to scan documents to PDF with your phone
Applications often ask for scanned copies of certificates, transcripts, an ID card or a signed form — and most people no longer own a scanner. Your phone can do the job well. iPhones and Android phones have free built-in scanners that straighten the page and save a PDF, and if you already have photos you can turn them into a PDF in your browser. This guide covers both, plus how to combine pages and keep the file under the portal's size limit. Menu names change slightly between versions, so look for the closest match.

Before you start: get a clean shot
A good scan is mostly about light and angle. These habits make the biggest difference:
- Put the document on a flat, dark surface so the edges are easy to detect.
- Use daylight or an even room light, and avoid your own shadow over the page.
- Hold the phone directly above the page, not at an angle.
- Turn the flash off unless the room is very dark — it often causes glare on glossy certificates.
- Scan every page the application asks for, and nothing more.
Scan to PDF on iPhone
The Notes app and the Files app both include a document scanner that detects the page edges, flattens the image and saves a PDF.
- Notes: open a note, tap the camera or attachment button, then choose Scan Documents. Capture each page, tap Save, then use Share to save the PDF to Files or send it.
- Files: open the Files app, tap the three-dot (more) button, choose Scan Documents, capture the pages and save the PDF straight into a folder.
- Choose the black-and-white or grayscale filter for text documents; it's easier to read and makes a smaller file.
Scan to PDF on Android
On most Android phones the Google Drive app has a built-in scanner. Some phone makers also include one in their camera or files app.
- Open Google Drive, tap the + (new) button or the camera/scan shortcut, and choose Scan.
- Capture each page; adjust the crop if the edges aren't detected correctly.
- Pick a black-and-white or colour filter, add more pages if needed, then save. Drive saves the scan as a PDF.
- Download the PDF to your phone if the upload form can't reach Google Drive.
Step by step: turn existing photos into a PDF

Make the text searchable (optional)
A scan is a picture of the page, so you can't select or search the words. If you need searchable text — for example to copy a passage or convert the document to Word — run OCR PDF on the scan. It currently recognises English, French, German, Spanish, Italian and Portuguese. Check the result, because recognition is never perfect, especially on stamps, handwriting or low-light photos.
