How to sign a PDF without printing it

An offer letter, internship agreement, consent form or rental application arrives as a PDF with a line that says “Signature”. Printing it, signing with a pen and scanning it back is slow and usually makes a blurry, oversized file. In most everyday cases you can add your signature directly to the PDF on your computer or phone. This guide shows how, what to check before you send it, and when a drawn signature isn't enough.

First, check what kind of signature is needed

For many everyday documents — accepting an offer, returning a school form, signing a tenancy application — a signature drawn onto the PDF is what the sender expects. Some documents are different.

If the sender asks you to sign through a specific e-signature service, or the document must carry a certified digital signature (common for some legal, financial and government documents), use the method they specify. A drawn signature is an image on the page; it isn't a cryptographic digital signature. When in doubt, ask the sender how they want it signed.

Step by step: sign a PDF in your browser

Tips for a signature that looks right

A few small things make a drawn signature look natural and professional:

  • On a phone or tablet, sign with your finger or a stylus — it's usually smoother than a mouse.
  • Draw the signature larger than you need, then shrink it on the page; it stays crisper.
  • Keep it on the signature line and inside the box, without covering printed text.
  • If the document has several signature or initial spots, place one on each before downloading.

Fill in the rest of the form

Before you send the signed PDF

Run through this quick checklist:

  • Every required signature, initial and date is filled in.
  • Your name is spelled the same way as in the rest of the document.
  • The file opens correctly and the signature appears where you placed it.
  • Rename the file clearly, for example Firstname-Lastname-Offer-Letter-Signed.pdf.
  • If the email or portal has a size limit, check it — signed text documents are usually small, but scans aren't.

Protecting the signed copy
